New Policies for Archival Research

The Oxford College Library is announcing new policies regarding archival and special collections research in an effort to align our services with Emory’s Manuscript, Archives, and Rare Book Library in Atlanta.

Here are some of the important changes.

1) Researchers will now need to make an appointment between 8am and 5pm, Monday through Friday.  We understand that many students are in class all day, so some evening and weekend appointments will be available.

2) After arriving for an appointment, the researcher will have to sign-in and fill out an Annual Researcher form.  Forms are valid September 1 through August 31.

3) We have pull slips for requesting the materials you need; researchers will no longer have access to the stacks (even Oxford staff members).  The pull slips will be kept on file with your research form for easy referral in case you need to access the material again.

4) Our finding aids are now part of the Emory Finding Aids database.  Use the basic search box to see all of Emory’s Archive holdings, or use the Advanced Search option to limit your search to Oxford College.  Books that are part of our Archives and Special Collections can be found through the online catalog, discoverE.

5) Reading Room policies are now in effect when using Archive or Special Collection materials.  To ensure that all policies are followed, a staff member will remain in the reading room while archive materials are in use.

6) Researchers must leave all belongings at the circulation desk.  Only pencils, green paper that we provide, and/or a laptop will be permitted in the room.

7) If a researcher wants to take photos with a digital camera, there is a form that must be filled out and the camera must be set to no flash.

8) There is now a charge for photocopies, scans, or any other type of duplication from the archives.  Generally, the first twenty copies and the first five scans of the year will be free, as well as those made for internal use by Emory departments.

9) At the end of the appointment, researchers will sign out.  We are happy to hold pulled materials if a second visit is needed.

10) All patrons quoting material or using images from the Archives will have to fill out a Permission to Publish, Quote, Broadcast, Exhibit, or Perform form.  The form will be sent to MARBL for their staff to review and determine permissions and cost.
