How do I find my PAN in Compass?
What is a PAN?
PAN refers to Pre Award Number. PANs are requested through the OSP PAN system when a SmartKey is needed to incur expenses prior to the institution’s receipt, acceptance, and processing of an award. A link to the system can be found on OSP’s website: http://www.osp.emory.edu/electronic/provisional/index.cfm.
There are 2 types of PANs:
- A new PAN – processed from a brand new award (could also be a renewal)
- A continuation PAN – processed from an existing Award ID (already generated) and projects are added to that Award ID on the award (not the proposal)
How does a NEW PAN look in Compass?
Grants >Proposals >Maintain Proposal >enter proposal number, select the record under v102 – if a PAN has been issued, under the Generate Status you will see ‘Pre-Sales Spending’
Important things to remember about NEW PANS
- Can never be located on the Award side
- The business practice is to set them up for a full year (no longer 3 months)
- Projects should be added before it is processed as a PAN because projects cannot be added to the proposal after it is in ‘Pre-Sales Spending’
- A budget is not loaded, the SK is created under Smart Solutions
- An eNOA cannot be sent through the system, an email is sent out to the department
- Expenses will not be billed
How do I find my CONTINUATION PAN in Compass?
A project is added to the original Award ID on the Award side – Grants >Awards >Award Profile >enter Award ID or project number > then search:
If a PAN has been issued, the Project Type will indicate PAN – Grants >Awards >Project >enter project number >then search:
Important things to remember about CONTINUATION PANS
- It can be pulled up on the Award side, the project number will appear as part of the project numbers under Award Profile
- The business practice is to set them up for a full year (no longer 3 months)

How can I find my Continuation/Next Year’s Funding in Compass?
If the continuation is a RENEWAL, it is processed like a NEW award (using the routed proposal number). However, if not, a project is added to the original Award ID under Award Profile
The continuation proposal is marked as ‘Awarded’ and ‘Submitted’ but is never generated.
Under the continuation proposal the original Award ID is noted under Additional Information as a Related Proposal.
Important things to remember about CONTINUATIONS
- If a continuation proposal was routed, please ensure that the information in the proposal is correct. If a new project number is needed this information is used to create the new project.
- If projects were created for ‘out years’ for an award at the proposal stage, those project numbers will be used for the continuation because they already exist.
