Many of you have been using Emory’s homegrown eCOI platform to manage research reporting requirements. We are sunsetting eCOI and transitioning to eDisclose, a university-wide software system designed to help researchers disclose financial interests and request approval for external activities.
While we recognize that any transition can present some frustrations, modernizing our system through eDisclose will provide greater functionality and ease of use. eDisclose will improve the user experience, including offering faster system speeds). A significant advantage with the launch of eDisclose will be that investigators will need to complete a single annual disclosure and will not be required to provide additional proposal-by-proposal disclosures. Additional disclosures will only be necessary if changes to an individual’s financial interests have changed, and such revised disclosures must be made within 30 days of the change.
eDisclose also addresses the University’s needs in terms of facilitating and enhancing regulatory compliance as new federal requirements take effect. eDisclose will help reduce inefficiencies and redundancy across the enterprise—for example, by offering a reduction in triggers for COI disclosure. Future integration with other enterprise-wide systems is also possible.
Faculty and staff who are required to disclose financial interests and request approval for external activities will need to use this new system, which is overseen by Emory’s Conflict of Interest and Commitment Office.
The annual certification period will run from November 17, 2022, through January 18, 2023. As a current annual disclosure must be on file prior to submission of any proposal to a federal agency, any investigator who will be participating on a federal proposal submitted during this period must complete their annual disclosure prior to the proposal deadline.
What you need to do:
- If you’re a faculty or staff member involved in research, you’ll need to sign up for eDisclose training. Training sessions start on October 18th. You can register for a session via the eDisclose SharePoint site. Our team will also host eDisclose labs beginning mid-November for one-on-one virtual assistance for users new to the system. More details for eDisclose labs will be available on the eDisclose SharePoint site soon.
- For investigators planning to submit grant proposals between November 17th and January 18th, please ensure that you complete your initial annual disclosure in eDisclose as far in advance of the proposal deadline as possible.
