Make Sure the Forms are Complete

When completing the PI Eligibility Access form, the Workflow Request form and/or the EPEX Access form, please make sure that all required fields are complete before emailing them to psgrants (preferable) or faxing them. This is especially true of the signatory lines. Where indicated, the forms require the signatures of the person requesting access, the Department (on the PI Eligibility form), and the supervisor’s signatures. Incomplete forms cannot be processed and will delay obtaining the requested access.

EPEX Records Cannot be Deleted

Once a record has been saved in EPEX, it cannot be deleted. If you have mistakenly created a record or are no longer intending to submit a proposal that was created, it remains in the system. With a few changes, however, the proposal can be used at a later date. The record must be used for a proposal for the same PI, but the remainder of the information can be updated for the new proposal.

In addition, to help OSP in monitoring proposal deadlines, if you have created a record that is not needed as originally intended, please revise the deadline date to 01/01/01. This will help OSP differentiate from proposals with true, hard deadlines, and those records that are not current.

OSP appreciates every effort that is made to avoid creation of unneeded or extraneous EPEX proposals. However, when circumstances are unavoidable and an extra record is created, please follow the above steps to alleviate any confusion. Thank you.
