Electronic Waste: A LITS success story in recycling, sustainability, and security 

The LITS Electronic Waste program is a success story in which Emory is able to sustainably dispose of electronic waste in ways that are good for the environment while also reducing overall cost to the university.

Where we were

In 2017, Emory was processing electronic waste for the campus in a very basic way. A vendor would come to predefined locations on campus, pick up our excess electronic waste and dispose of it. Not only was this process bad for the environment, but it cost Emory $64,000 a year. Our suspicion was that at least a portion of this electronic waste had some value. So the fact that we were paying this much for the disposal of it was difficult to digest. We knew we had an opportunity to make improvements. Additionally, what we found was that working through this kind of basic vendor afforded us very little visibility into what they were doing with the waste.

An internal audit revealed we had insufficient controls over the process in terms of environmental and security concerns. Environmentally, we suspected, but could not verify, that the majority of this waste was going to landfills. Regarding data security, we felt that our data destruction protocols were inconsistent and that Emory data was at risk through this process. In some cases, data was not being destroyed before it went out the door and an assumption was being made that our vendor was handling that destruction, which they were not. Add these concerns to the high cost of the service and it was clear that changes needed to be made.

Premier Surplus

Late in 2017, we entered into a 90-day pilot program with Premier Surplus, located in Dawsonville, GA. They are certified in recycling electronic waste. We also discovered working through Premier that they did not have any restrictions in terms of pickup location. So with this new program, we could simply give them an address on campus or in metro Atlanta and they have trucks that can stop in at a specific address that we provide, thus making the materials logistically easier to handle. Premier also performs data destruction in a verifiable way, using the National Institute of Standards and Technology (NIST) standards to consistently destroy data, which is a tremendous benefit for Emory.

Another benefit of Premier Surplus was the availability of full metrics and usage data. In FY19, we learned that Emory produced 64 tons of electronic waste, far more than we anticipated, and was able to resell or recycle almost all of it. This recycling generated $31,840 in revenue for Emory. Only 0.4% of the waste had to go to a landfill.

The difference in what we were paying our old vendor versus now receiving credits is a major victory for this program. In fact, leftover funds from the recycling program have been applied to other programs relating to device security through the implementation of systems that allow us to keep many third-party on applications on our Windows machines up to date with security patches and updates.

Diversity, Equity, and Inclusion Committee offers professional growth opportunities for the summer

Are you looking for free virtual professional development opportunities this summer? Have you been interested in getting more involved in the conversation diversity, equity, and inclusion at Emory Libraries?

The Emory Libraries Diversity, Equity, and Inclusion (DEI) Committee has been hard at work reviewing updated and new DEI LinkedIn Learning courses for you. Based on our review, led by the DEI Education Sub-Committee, here are four recommended courses to get started, each under one hour!

You will receive a Certificate of Completion at the end of each course that you can attach to your Performance Self-Evaluation document.

We also have a list of free training from our Emory Office of Equity and Inclusion online courses. These also provide a certificate of completion. Please log into the Emory Learning Management System (ELMS) with your Emory username and password. From the home page, follow the path below to access the courses:

  1. Under “self service,” click “find learning”
  2. Type the course number in the title field
  3. Click “search”
  4. Click “enroll”
  5. Click “submit enrollment”
  6. When you’re ready to watch the training, click “launch”
  7. Once you finish the course, the system provides a certificate of completion

Final LITS performance management virtual training is next week

This is a friendly reminder that the final 2020 LITS Performance Management virtual training will take place at 11:00 am on May 27.

The training content will focus on three things in particular:

  • New Senior Leadership Competencies (just introduced this year)
  • How to address special circumstances created by the pandemic
  • How to overcome the lack of a formal rewards program for this year’s cycle

If employees need training or a refresher on the standard 8 Emory competencies, the rating system, feedback tips, the overall process and timeline, a PeopleSoft System demo, etc., we have recorded sessions from prior years on the LITS HR Confluence website and there are webinars that can be accessed via ELMS.

Steven Benitez, Product Manager, Research Solutions

Steven Benitez is a new product manager on the Product Management Team, which is part of Research Solutions. He was hired to handle the AWS at Emory service. Steven comes to LITS after spending a year managing the IT equipment for the Emory School of Medicine’s ExCEL (Emory Center for Experiential Learning) department (doing high-fidelity simulations). Before that, he spent ten years doing desktop field support for Clayton County Schools.

Born in Brooklyn, NY, Steven grew up in Georgia. He holds AWS certifications in Cloud Practitioner and Cloud Solutions Architect. He earned a computer information systems certificate at Griffin Technical (now Southern Crescent University).

Steven and his wife, Nicole, are kept busy raising their two kids (5 and 15 years old). He is an RC car and drone enthusiast, recently purchasing a high-end drone for improved aerial views.

“AWS and cloud technologies are increasingly important, especially given the pandemic,” says Steven. “These technologies have helped keep Emory up and running during with all of the remote access they provide. I am tickled to death to be working on them.”

Kim Copenhaver, Director, Access Services

“I’ve enjoyed getting to know the Access Services team,” says Kim. “They are collegial and collaborative, but most importantly committed to exceeding user expectations!”

Kim Copenhaver is the new director of access services for Emory Libraries. Prior to her Emory arrival, Kim spent ten years at Eckerd College, where she was an associate professor, access services librarian and behavioral sciences liaison.

Born and raised in Gainesville, FL as a 5th generation Floridian, Kim earned a bachelor of science degree in hospitality administration from Florida State University and her master library and information science degree from the University of South Florida. She is also on the Board of Directors for the Association of College & Research Libraries, a division of the American Library Association.

Kim has a husband and three children, a Labrador retriever and a rescue cat. She enjoys spending time with family, organic gardening, cooking and watching college sports with friends. “I’m a sports fan. Growing up in Gainesville, college sports is infused into the culture of the community and hard to escape!”

Regarding her new colleagues, “I’ve enjoyed getting to know the Access Services team,” says Kim. “They are collegial and collaborative, but most importantly committed to exceeding user expectations!”

Chenoa Lawrence, Student Technology Support Coordinator, Student Digital Life

“I’m looking forward to growing with Emory!” – Chenoa Lawrence

Chenoa Lawrence (pronounced shah-NO-ah) is the new student technology support coordinator for the Student Digital Life team. She spent the last year working for an artificial intelligence company called LivePerson as a service desk specialist II. Chenoa has also worked for seven years as an information systems administrator for Atlanta Technical College and three years as a certified technology support specialist for DeKalb County Schools.

Born and raised in Atlanta, GA, Chenoa earned her bachelor’s degree in computer information systems from DeVry University and an MBA in network and communication management from the Keller Graduate School. She also carries a CompTIA Network+ certification.

Chenoa is currently engaged, and their wedding day is on his birthday, August 30, 2020! Her fiancé is also in higher education, serving as the financial aid director at Atlanta Technical College. Chenoa’s new hobby is gardening, and she loves staying active, doing outdoor activities, and spending time with family and friends.

“The SDL team has been extremely welcoming,” says Chenoa. “Although we are all working remotely, it was great having the opportunity to tour the campus as well as the Student Technology Support Service Desk. I’m excited to learn about the student population and I’m equally ecstatic about being an advocate for the students. I’m looking forward to growing with Emory!”
